Terms & Conditions
These terms apply in addition to the General Immersive Dome Experience Terms & Conditions.
1. Age Range
• Birthday parties are designed for children aged 1–6 years.
• Attendance outside of this range requires prior agreement from the Director of Icenai Domes Ltd.
2. Numbers & Capacity
• Maximum of 20 children permitted in the immersive dome per session, depending on age.
• At least one supervising adult must be inside the dome at all times.
• Entry may be refused if capacity limits are exceeded.
3. Venue Requirements
• Where a customer provides the venue, the party organiser must ensure it is suitable in size, access and safety for the immersive dome, as agreed in advance with the Director.
• If the venue is deemed unsuitable on arrival and no safe alternative is available, the session may be cancelled with no refund.
4. Bookings & Payments
• A 30% non-refundable deposit is required at the time of booking.
• The remaining 70% balance must be paid in full no later than 7 days before the event date, unless agreed otherwise.
• Failure to pay may result in cancellation with loss of deposit.
5. Cancellation Policy
By the Customer:
• More than 14 days before event – deposit retained only.
• Within 14 days – full balance payable, no refund issued.
• Illness of guests or organiser is non-refundable.
By Icenai Domes Ltd:
• In the unlikely event of cancellation due to illness, equipment issues, venue problems, severe weather or unforeseen circumstances, as much notice as reasonably possible will be given.
• Customers will be offered a full refund (including deposit) or a rescheduled date.
6. Supervision & Responsibility
• Children must be supervised by parents or responsible adults, at all times.
• The party organiser is responsible for guest behaviour and following safety guidance.
• If any Icenai Domes Ltd dome fabric, projection equipment, sound systems or electronic equipment is damaged by guests, Icenai Domes Ltd reserves the right to invoice the organiser for repair or replacement costs.
7. Health & Safety
• The dome includes lights, visuals and sound which may not be suitable for some medical conditions.
• Any relevant conditions or additional needs must be shared in advance.
• Participation is at your own risk.
8. Food & Drink
• No food or drink is permitted inside the immersive dome at any time.
9. Damage & Personal Belongings
• Any damage caused during private hire may be charged to the organiser.
• Icenai Domes Ltd is not responsible for loss or damage to personal items.
10. Liability
• Icenai Domes Ltd accepts no liability for loss, injury or damage except where caused by proven negligence.
• Parents and guardians remain responsible for children throughout the event.
• Accidents resulting from failure to follow safety instructions are not the responsibility of Icenai Domes Ltd.
11. Weather
• Where cancelled by Icenai Domes Ltd for safety reasons, a refund or reschedule will be offered.
• No refunds where customers choose not to attend but the event goes ahead.
12. Force Majeure
• Icenai Domes Ltd shall not be liable for failure or delay in performance due to events beyond reasonable control, including but not limited to severe weather, fire, flood, illness, government restrictions, power failure or equipment breakdown.
• Where possible, a refund or alternative date will be offered.
